Are you looking for a dynamic role that places you at the heart of vital operations? The Marine Accident Investigation Branch (MAIB) in Southampton is on the lookout for a proactive and organized individual to join their team as a Business Support Officer. This role offers a unique chance to work closely with senior stakeholders and make a significant impact on maritime safety investigations.

The Marine Accident Investigation Branch (MAIB), a leading authority in maritime safety, has announced an exciting vacancy for a Business Support Officer at their Southampton office. This role is integral to the smooth operation of the branch, serving as the main point of contact for all incoming requests and ensuring the effective management of critical information systems.

As a Business Support Officer, you will be responsible for updating and managing the MAIB’s record management system, Respond, and drafting timely responses to various inquiries. This role demands a keen understanding of the Freedom of Information Act (FOI) or a strong willingness to learn and develop this knowledge. Regular interaction with senior stakeholders is a key aspect of the job, requiring the successful candidate to provide thorough and accurate responses within the statutory 20-day timeframe.

In addition to managing information requests, the postholder will attend FOI departmental training and forums, disseminating key insights and best practices to the wider Business Support team. The role also involves oversight of both paper and digital records, ensuring that they comply with information management policies and retention guidelines.

The Business Support Officer will also play a crucial role in organizing the daily operations of the branch. This includes managing Outlook calendars, mailboxes, and appointments for the Chief Inspector and Deputy Chief Inspector, ensuring that deadlines are met and key tasks are delegated or flagged as needed. Moreover, the successful candidate will be responsible for the efficient organization of meetings, from setting dates and booking rooms to circulating agendas, taking minutes, and following up on action points.

Another critical responsibility includes assisting the finance manager as needed, particularly during periods of leave, and providing finance-related support to ensure the branch’s financial processes run smoothly.

To excel in this role, you need to possess strong organizational skills, the ability to work proactively under tight deadlines, and confidence in dealing with senior stakeholders. Excellent verbal and written communication skills are essential, as is the capacity to challenge when necessary to ensure the branch operates at its best.

This role is ideal for someone who thrives in a fast-paced environment and is eager to contribute to the essential work of the MAIB. If you have the drive to deliver results and the skills to manage complex tasks effectively, this could be the perfect opportunity for you.
